Privacy Policy

Fellowship Scheduler (also referred to as GMEScheduler) is a scheduling application used by training programs to manage fellow rotations, call assignments, time off, and related coordination. This policy describes the information we collect, how it is used, and the choices you have.

• Account information (email, password hash, authentication identifiers)
• Fellow profile information (name, program year, contact details, preferences)
• Schedule assignments (rotations, weekend and weekday call, coverage)
• Vacation and time-off requests
• Swap requests and approvals
• Administrative and audit logs of changes made within the app
• Email notification metadata (delivery status, timestamps)
• Device and browser diagnostics needed for troubleshooting
• Usage data necessary for the app to function correctly

We use information solely for app functionality, including:

• Building and displaying schedules and assignments
• Validating schedule rules and detecting conflicts
• Authenticating users and managing role-based access
• Sending schedule and request notifications
• Maintaining audit logs for security and accountability
• Diagnosing and fixing problems

We do not sell your data and do not use it for advertising. Data is processed by infrastructure subprocessors that host the database and authentication services and deliver transactional email on our behalf. These subprocessors only process data as needed to operate the app.

Your account and profile data are retained while your account is active. Schedule assignments and audit logs may be retained longer where needed for operational continuity, security, or legal/compliance requirements.

Data is transmitted over encrypted connections (HTTPS/TLS), protected by row-level security in the database, and access is gated by role-based authorization. No system is perfectly secure; we work to maintain reasonable safeguards.
